Conferences, incentive travel and corporate events

The Business department at Voyages AquaTerra designs and runs group travel for companies, from destination scouting through to the last participant back home. Our recent projects range from 35 to 325 participants, in Quebec, Ontario, Europe and the Caribbean.

The mandates we take on

  • Conferences and conventions, at home and abroad, meeting rooms and programme included
  • Incentive travel, when the trip is the reward for a target met
  • Recognition trips, marking long service or a specific contribution

  • Team cohesion activities built for the destination rather than pulled from a catalogue

What we take care of

A mandate runs in three stages. You can hand us all of it, or only the part you are missing.

Before the destination is chosen

Destination and supplier scouting, request for proposal management, comparison of the offers received, then building the payment schedule and making sure it is met.

During preparation

A dedicated registration website for participants, full registration management including changes and cancellations, room inventory tracking, meeting room coordination, and travel logistics: flights, trains, car rentals, rerouting and individual exceptions.

On site

An active presence before, during and after the event. A tour leader travels with the group and stays from the first day to the last. Staff are also at Montréal airport on the morning of departure, and past customs on arrival.

The activities we build

We do not resell the entertainment a resort already offers every one of its guests. We build what does not exist yet: a private nautical village on a Martinique beach with an introduction to the yole, an outdoor winter carnival in Ontario with a skating rink and toasted marshmallows, a technical competition on vehicles inside a hotel function room in Quebec City, a trade floor bringing your partners together, a casino evening raising money for charity, a discovery rally, the privatisation of a restaurant or a landmark venue.

Which means knowing the destination. Privatisation is booked months ahead and lost in a week.

An incentive trip rewards a measurable target, usually a sales target, and has to be earned. A recognition trip marks long service or a particular contribution, and is given. They are planned differently, because the first requires a qualification mechanism announced to employees in advance.
Allow eight to twelve months for a group of more than fifty people in high season, and longer if the project involves privatising a venue or booking conference space. Under three months, the choice of properties narrows quickly and group airfares become hard to hold.
